Privacy Policy

Effective August 25, 2026. bookwithnav.com and app.bookwithnav.com are operated by NAV Productions Inc., a Wyoming corporation.

This Privacy Policy explains what information we collect, how we use it, who we share it with, and the choices available to you. It applies to our Platform, our services, and our communications. It does not apply to third-party websites or services we link to.

Our services are offered to businesses rather than to consumers. We still handle personal information belonging to individuals, including business contacts, property occupants, and people who appear in media, and this Policy applies to that information.

1. Information We Collect

Information you provide.

  • Account and contact details: name, business name, email address, phone number, mailing address, and role.
  • Booking details: property address, access instructions, scheduling preferences, scope of work, and special requests.
  • Business verification: brokerage or license information, tax identification, and registration numbers where we request them.
  • Payment information: processed by our payment providers. We do not store full card numbers on our systems.
  • Uploaded content: files, images, notes, branding, property information, and other material you submit to the Platform.
  • Communications: messages, support requests, feedback, and correspondence with our team.

Information collected automatically.

  • Device and connection data: IP address, browser type, operating system, and device identifiers.
  • Usage data: pages viewed, features used, links clicked, session duration, and referring pages.
  • Cookies and similar technologies, as described in Section 5.

Information collected during production.

  • Photographs, video, and aerial imagery of properties, including their interiors, exteriors, surroundings, and anything visible at the time of the session.
  • Incidental capture of individuals, vehicles, personal property, and documents present at a property.
  • Location and metadata associated with captured media.

Information from third parties.

  • Payment processors, scheduling and CRM platforms, mapping and address verification services, and analytics providers.
  • Business contact information from public sources, directories, and referral partners.

2. How We Use Information

We use information to:

  • provide, schedule, perform, and deliver our services;
  • create, edit, host, and deliver media;
  • operate, maintain, secure, and improve the Platform;
  • process payments, issue invoices, and collect amounts owed;
  • communicate about bookings, scheduling, delivery, billing, and support;
  • send marketing and promotional messages where you have consented;
  • verify business status and prevent fraud, abuse, and unauthorized access;
  • analyze usage to improve service quality, workflows, and product development;
  • market and promote our work, including use of produced media in our portfolio and advertising;
  • comply with legal obligations and enforce our Terms and Conditions of Service.

We may create aggregated or de-identified information from the data we hold and use it for analytics, benchmarking, and business purposes. Such information does not identify any individual and is not subject to this Policy.

3. How We Share Information

We share information in the following circumstances:

Service providers. We use third-party vendors to run our business, including hosting and storage, customer relationship and booking platforms, scheduling tools, payment processors, email and text message providers, editing and post-production tools, analytics services, and accounting systems. These providers access information only as needed to perform services for us.

Subcontractors and production personnel. We engage photographers, videographers, drone operators, editors, and local production partners who receive the information necessary to perform a project, including property addresses, access instructions, and client contact details.

At your direction. We share information where you ask us to, including delivering media to parties you designate.

Legal and safety. We disclose information where required by law, subpoena, court order, or governmental request, and where we believe disclosure is necessary to protect our rights, enforce our agreements, investigate suspected fraud or abuse, or protect the safety of any person.

Business transfers. If NAV Productions is involved in a merger, acquisition, financing, reorganization, or sale of assets, information may be transferred as part of that transaction.

Mobile messaging. No mobile information, opt-in data, or consent to receive text messages is shared with third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent are not shared with any third party except subcontractors and service providers that assist us in delivering those messages.

4. Selling and Sharing of Personal Information

We do not sell personal information for money.

Certain state privacy laws define "selling" and "sharing" broadly enough to include some uses of advertising and analytics technologies, such as cookies used for measurement or interest-based advertising. Where those definitions apply to any activity on our Platform, residents of those states may opt out as described in Section 9. We do not knowingly sell or share the personal information of anyone under 16.

5. Cookies and Tracking

We use cookies, pixels, tags, and similar technologies to keep you signed in, remember preferences, measure traffic and performance, secure the Platform, and understand how our marketing performs. Some are set by us and some by third-party providers, including analytics and advertising platforms.

Most browsers allow you to refuse or delete cookies. Disabling cookies may prevent parts of the Platform from working correctly. Where required by law, we present a cookie notice and obtain consent for non-essential cookies.

We do not currently respond to browser Do Not Track signals. Where required, we honor Global Privacy Control signals as opt-out requests.

6. Communications and Text Messages

Service messages. When you book with us, we send messages about confirmations, reminders, arrival times, delivery of your files, billing, and account matters. These are necessary to provide the service and are not marketing.

Marketing messages. We send promotional email and text messages only to those who have opted in. Consent to marketing messages is not a condition of purchase. You may opt out of marketing texts by replying STOP and marketing emails by using the unsubscribe link. Opting out of marketing does not stop service messages while an engagement is active.

Numbers you provide for others. If you give us a phone number belonging to a seller, occupant, assistant, or other third party, we use it only to coordinate the specific project. We do not add those numbers to marketing lists.

Message and data rates may apply. We may record or monitor calls for quality and record-keeping where permitted by law.

7. Property Media, Imagery, and People

Our work involves photographing and filming real property. Please note the following:

  • Media may incidentally capture people, vehicles, personal belongings, documents, and other identifying details present at a property.
  • The client who commissions a project is responsible for notifying and obtaining consent from owners and occupants, and for obtaining releases from any individual who appears in the media.
  • We retain ownership of the media we produce and use it for portfolio, marketing, advertising, and promotional purposes, as set out in our Terms and Conditions of Service.
  • If you are an owner, occupant, or individual who appears in media we produced and you wish to request removal or obscuring, contact privacy@bookwithnav.com. We will review each request in good faith, though we may be unable to alter media already delivered, published, or distributed by a client or a third-party platform.

8. Data Retention

We keep information for as long as needed to provide services, maintain business and financial records, resolve disputes, enforce our agreements, and comply with legal obligations.

Produced media and project files may be retained indefinitely for portfolio, archival, and business purposes. As stated in our Terms and Conditions of Service, the Platform is not a backup service, and we have no obligation to retain or restore any file for a client's benefit. Clients are responsible for maintaining their own copies.

9. Your Privacy Rights

Depending on where you live, you may have rights to:

  • know what personal information we hold about you and how we use it;
  • access or receive a copy of that information;
  • correct inaccurate information;
  • request deletion, subject to exceptions;
  • opt out of marketing communications;
  • opt out of the sale or sharing of personal information, or of targeted advertising;
  • limit the use of sensitive personal information;
  • appeal a decision on a request; and
  • be free from discrimination for exercising these rights.

If you are in the European Economic Area or the United Kingdom, you may also have rights to restrict or object to processing, to data portability, to withdraw consent, and to lodge a complaint with your supervisory authority.

To exercise a right, email privacy@bookwithnav.com with your request and enough information for us to locate your records. We will respond within the timeframe required by applicable law. We may need to verify your identity, and we may decline requests where an exception applies. An authorized agent may submit a request on your behalf with proof of authority.

10. Legal Bases for Processing

Where the GDPR or UK GDPR applies, we process personal information on the following bases:

  • Contract: to perform services you or your organization have engaged.
  • Legitimate interests: to operate, secure, and improve our business, market our services, and protect our rights, where not overridden by your interests.
  • Consent: for marketing messages and non-essential cookies, which you may withdraw at any time.
  • Legal obligation: to comply with tax, accounting, and other legal requirements.

11. International Transfers

We are based in the United States and our service providers may be located in the United States and other countries. If you are located outside the United States, information you provide will be transferred to and processed in the United States, where privacy laws may differ from those in your jurisdiction. Where required, we use appropriate safeguards for such transfers, including standard contractual clauses.

12. Security

We use administrative, technical, and physical safeguards intended to protect information, including access controls, encryption in transit, and vendor review. No system is completely secure, and we cannot guarantee the security of any information transmitted to or stored by us. You are responsible for safeguarding your account credentials and for the activity of anyone you allow to access your account.

13. Children

Our Platform and services are directed to businesses and are not intended for children. We do not knowingly collect personal information from anyone under 18 through the Platform. If you believe a child has provided us information, contact privacy@bookwithnav.com and we will delete it.

Media we produce may incidentally include minors present at a property. Our clients are responsible for obtaining parental or guardian consent for any minor appearing in commissioned media.

14. Third-Party Sites and Services

Our Platform may link to or integrate with third-party websites and services, including multiple listing services, brokerage sites, syndication portals, and social platforms. We do not control those services and are not responsible for their privacy practices. Review their policies directly.

15. Changes to This Policy

We may update this Policy from time to time. We will post the revised version with an updated Effective Date, and where changes are material, we will provide notice by email or through the Platform. Continued use of the Platform or our services after the revised Policy takes effect constitutes acceptance.
